Location: Brockton, MA SUMMARY The Office Manager position manages office and distribution activities of branch location with an opportunity to grow and take on additional responsibilities in an exciting work environment. This job requires excellent communication and organizational skills, as well as proficiency with technology. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. * Promotes the culture, the mission and vision, and the core values of the company. This includes adherence to and promotion of the company safety beliefs, employee engagement, competencies, code of conduct, and other policies and procedures. * Promotes safety awareness, accident prevention, and employee involvement with regard to a safe work environment. Ensures employees understand the safety expectations of the organization. * Coordinates with and assists the Branch Manager, on a daily basis, with all the activities and decisions concerning branch operations. * Creates and maintains office work standards regarding filing of data, forms, and ensuring adequate supplies are in stock. * Provides leadership to personnel and organization to both the office and yard personnel, inventory, and distribution functions. * Responsible for overall distribution and filing of daily mail, office expense reports, daily payroll entry, building repair and maintenance records, forklift daily safety check sheets, truck maintenance reports, and hazardous chemical (MSDS) sheet logbook. * Coordinates all truck scheduling relating to shipments to customers and incoming shipments to branch location. Responsible for accurate inventory control. Communicates with Materials Management in the production scheduling and delivery deadlines for product as well as date management of orders within the companies operating system. * Responsible for customer service of call-in and walk-in customers, handling telephone and fax orders, and assisting outside sales personnel. Must be well versed in product knowledge to answer product related, billing, and invoicing questions, and handle material certifications. * Handles and mitigates customer complaints related to production deadlines, product defects, and any other customer complaints that may arise. * Responsible for review of orders to be invoiced daily as well as making tax adjustments on any invoicing errors or discrepancies. * Works with branch and district manager to ensure correct pricing profiles are established and maintained in the company’s operating system specific to the branch location and its customers. Enter pricing cases when needed. * Responsible for transfers into SES system. * Responsible for Work Order processing and inventory adjustments. * Responsible for processing customer returns. * Responsible for ensuring cycle counts are done accurately and routinely. * Follows up with customer orders to assure delivery and customer satisfaction. * Creates and maintains files for quotes, bids, submittals, etc. * Responsible for all billing and order entry procedures. * Oversees and coordinates yard operations. * Responsible for delegation of these duties on an as needed basis. SUPERVISORY RESPONSIBILITIES Directly supervises 1-8 employees in sales location. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance within established recognition and disciplinary procedures; addressing complaints and resolving problems. EDUCATION and/or EXPERIENCE Bachelor's degree (B.A.) from four-year college or university; and two years related experience and/or training; or equivalent combination of education and experience.
